How to prepare content for a new website

A content workflow for deciding what to keep, rewrite, create, approve, migrate, and maintain.

Content is often the real schedule risk in a website project. Treat it as a workstream with owners, source material, review stages, and deadlines—not a task that begins after design is finished.

Create a content inventory

List current pages, documents, downloads, forms, media, owners, traffic, and known issues. Mark each item to keep, improve, combine, redirect, archive, or create.

Write for user tasks

For each page, identify who it serves, what question brings them there, what they need to understand, and the next action. This keeps internal organizational language from taking over the experience.

Assign ownership and approval

Name the subject expert, writer or editor, approver, and final publishing owner. Agree how legal, technical, leadership, or programme reviews will be handled before deadlines become urgent.

Plan migration and maintenance

Decide who enters content, prepares images, checks links, applies redirects, and reviews the finished pages. After launch, give recurring information a clear update owner and schedule.
