Start with a task, not a tool
Look for repeated reading, drafting, sorting, searching, summarizing, or handoff work. Write down the input, decision, output, current effort, common errors, and person responsible for the result.

Classify the information involved
Classify information as public, internal, confidential, personal, or otherwise sensitive. Approve the tools and accounts before staff put company information into an AI service.

Design human oversight
Decide who reviews each output, what they check, when it can be used, and what happens when the answer is uncertain. High-impact decisions need stronger controls than internal drafting help.

Pilot, observe, then expand
Test with a small group and real examples. Track time saved, corrections, failures, staff use, and new risks. Expand only after you understand how the process works.
